Create an event

Open Events and choose Create. You can also choose Create event on the Events tab of a group you help run.

GatherEasy saves what you type as you go. If you leave the page and come back, you’ll be asked Restore Draft? so you can pick up where you left off.

At the top, choose who the event belongs to under Choose the group of this event:.

  • Personal: the event is yours alone. Every account has a Personal group for this.
  • A group you own, administer or organise: the event appears on the group’s calendar, and publishing it notifies the group’s members. See Groups.

To sell tickets, the group you choose needs a connected Stripe account. See Sell tickets.

Upload your own cover image, or pick one of the built-in covers (Mint, Sunset, Dusk). Images are compressed to under 500 KB before upload.

Give the event a Title and choose when it Starts and Ends. Times use your current time zone. The end must be after the start.

Choose the kind of location:

  • Physical: search for a place or address. Choosing a Google Maps result adds a map pin. If the place isn’t found, choose Add this address without a place result.
  • Virtual: paste the meeting link (Zoom, Google Meet or any other URL). Guests only see the link once they’re registered: “Link shared once you’re in.”
  • Hybrid: both a place and a link.

Choose + Find location instructions to add How to find the location: parking, the entrance or other directions guests will see on the event page.

Write the description in the editor. The toolbar adds Bold, Italic, Strikethrough, headings, bulleted and numbered lists and links. The description uses Markdown, so you can also type the formatting yourself.

Choose Add illustration to add an image. Upload an image, choose one of the illustrations or add an image link. Images of 500 KB or more are compressed on upload, and large GIFs lose their animation. To keep the original quality, add an image link instead.

Choose up to 5 categories, such as Music, Tech or Food & Drink. Categories help people find your event in Explore.

Set Capacity to the maximum number of confirmed guests. Enter 0 for unlimited.

Turn on Over-capacity waiting list to keep accepting interest once the event is full. When a place opens, GatherEasy offers it to the next person. They have 24 hours to accept. See Manage guests.

Invite-only Only people who have the link. Only guests you’ve invited.

Turn on Require host approval for RSVPs to keep new registrations pending until you approve them.

Choose Edit registration questions to ask guests for information when they register. For each question choose an Answer type:

  • Short answer: guests type a reply.
  • Choose from options: enter one option per line.

Tick Required if guests must answer. You can ask questions whether or not approval is on.

Under Tickets, choose free or paid.

For paid events, choose Edit ticket prices to set up one or more ticket types. For each type, set:

  • a name (for example “Early bird” or “Student”); names must be different,
  • the Price (EUR),
  • how many are Available (0 means unlimited),
  • optionally when Sales open and Sales close.

Each attendee can buy one ticket.

If the group doesn’t have Stripe connected yet, you’ll see Connect Stripe to sell tickets. Choose Go to group payment to connect it, or Keep event free.

Choose Create Event. Your event is published straight away. You’ll land on its management page, where you can invite guests and share it. See Manage your event.

On the event’s management page, choose Edit Event. When you save changes to a published event, its guests are notified.
