Check guests in

Check-in works in the browser on any phone with a camera. You don’t need a separate scanner app.

Open your event and choose Check in guests. It’s on the event page, on the management page’s Overview tab and on the Guests tab. Hosts, co-hosts and check-in staff can open it. See Co-hosts and staff.

The top of the screen shows how many guests are checked in out of the valid tickets.

  1. Choose Tap to scan a ticket QR code and allow camera access when your browser asks.
  2. Point the camera at the guest’s ticket QR code.
  3. The result appears straight away:
Message What it means
Ticket checked in. All good. Let them in.
This ticket was already checked in. The ticket has been scanned before. Check the guest’s name.
That ticket is for a different event. The guest opened a ticket for another event.
That ticket was refunded. The registration was cancelled and refunded.
That ticket is no longer valid. The ticket was cancelled or voided.
That ticket is not recognised. Not a GatherEasy ticket, or the code is damaged.

Choose Stop scanning when you’re done.

If a guest can’t show their ticket, or the camera isn’t working, type in Or search guests to check in manually… and choose Check in next to their name.

If you checked someone in by mistake, an AI assistant connected to GatherEasy can undo it (“undo the check-in for Sam at tonight’s event”). See AI assistants.

  • “Camera scanning needs a secure (https) connection.” Make sure you’re on https://gathereasy.rsvp.
  • “Camera permission was not granted.” Allow camera access for gathereasy.rsvp in your browser’s site settings, then reload.
  • “Camera scanning is unavailable on this device.” Use search to check guests in by name.

With a poor connection, you can still search the guest list and check people in manually.

Scan QR code in the profile menu also recognises ticket codes. It opens the ticket so you can check it.
